Presentation & Video Submission Guide
For the AV Edge Spring Business Summit on March 20th
(Zoom Rehearsal: March 6th / File Submission Deadline: March 10th / Dress Rehearsal on March 19th)
Step 1: Download the PowerPoint Template
We have provided multiple PowerPoint template files, each with a consistent visual theme but different types of slides. These include:

Step 2: Customize Your Presentation
- Open the PowerPoint template and select the slides you want to use.
- Delete any unused slides.
- Replace placeholder text and images with your content.
- Ensure all images and logos are high quality (avoid low-resolution screenshots).
- If using videos, embed them directly into your slides and provide a separate backup file.
Important Formatting Requirements:
✔ Slide Size: 1920 x 1080 (16:9)
✔ Font Embedding: All fonts must be embedded.
✔ Presenter Notes: Presenter notes should be directly in the powerpoint file to use the presenter mode on stage.
✔ File Naming: Follow this format:
[Your Presenter Name] – [Presentation Title].pptx
Step 3: Prepare Video and Audio Assets (If Applicable)
- Video Format: MP4, 1920 x 1080, 59.94 fps
- Image Format: PNG or JPG, 1920 x 1080
- Audio Format: MP3, 320kbps
- Name your files using this format:
01 – Opening Video.mp4
02 – Speaker Intro.mp3
For presentations requiring multiple display screens, please specify this in the file name (e.g., “Main Screen,” “Side Screens”).
Step 4: Submit Your Files
Zoom Rehearsal: March 6th
Submission Deadline: March 10th
All files must be submitted by March 10th for testing and verification. Files received after this date must be delivered on a USB drive at the event.
Submission Options:
- Preferred: Upload files to Dropbox HERE.
- Backup: Bring a USB drive with your files to the event on March 19th.
Step 5: Tech Rehearsal (March 19th)
- Arrive at the venue with a backup of your presentation on a USB drive.
- Test your slides, videos, and audio to confirm everything works correctly, INCLUDING PRESENTER MODE.
Additional Notes
Google Slides is NOT supported – please convert your presentation to PowerPoint.
Live presentations with multiple laptops require advance setup – notify us ahead of time.
How to Be Successful Creating Your Slides
Creating an effective presentation is more than just adding text and images to slides—it’s about clarity, readability, and impact. Follow these best practices to ensure your slides are professional, easy to read, and visually engaging for your audience.
Slide Design Best Practices
✅ Keep Text Readable & Well-Spaced
- Use large fonts: Minimum 24pt for body text, 32-44pt for headings.
- Avoid text near the edges: Keep a margin around your slides to prevent text from being cut off on screens.
- Limit text per slide: Keep sentences short and use bullet points instead of large paragraphs.
- Use high contrast: Dark text on a light background (or vice versa) ensures readability.
Make Your Slides Visually Engaging
- Use consistent colors and fonts – Stick to the provided template for a professional, unified look.
- Limit fonts to 1-2 styles – A clean sans-serif font like Arial or Calibri works best for clarity.
- Use high-quality images – Avoid blurry or pixelated images. Recommended minimum resolution for large images: 1920×1080 pixels.
- Avoid clutter – Each slide should focus on one key message to keep the audience engaged.
Present Data Clearly
- Use charts & graphs – Instead of long lists of numbers, visualize data to make it more digestible.
- Label everything clearly – Ensure charts have clear titles and readable axis labels.
- Avoid tiny text – If an audience member in the back can’t read it, it’s too small!
Embedding Video & Media
- Use high-quality videos – MP4 format, 1920×1080 resolution, 59.94 fps.
- Keep videos short & relevant – If it’s longer than 1-2 minutes, consider summarizing key points.
- Embed videos directly into your PowerPoint rather than linking to online sources (no Wi-Fi dependency).
Final Checks Before Submission
✔ Test your slides – View them on a large screen to check readability.
✔ Use the provided PowerPoint template – It’s already formatted for success.
✔ Save as a PowerPoint file (.PPTX) and PDF – Ensures compatibility.
✔ Bring a backup copy – USB drive with all media files in case of technical issues.
